We accepts the following file formats;
- XLS, XLSX – Microsoft Excel
- CSV – Comma Delimited
- TXT – Tab Delimited Text File
- DBF – Database File
Follow these guidelines below;
- Mail list should include a header row.
- A typical list will include these columns of information;
FIRSTNAME | LASTNAME | ADDRESSLINE 1 | ADDRESSLINE 2 | CITY | STATE | ZIPCODE
or
FULLNAME | LASTNAME | ADDRESSLINE 1 | ADDRESSLINE 2 | CITY | STATE | ZIPCODE - Delete all columns and records/rows of data not required for the mailing.
- Do not hide rows or columns in Excel files because the mail processing software will still import this data. Please delete this data before sending.
- There should only be one Sheet (bottom tab) in Excel. Combine all records to one Sheet before sending.
- Each data field should be in its own column. The First and Last Name should be in separate columns if you’ll be printing variable first names (i.e. Dear Frank, …) within the piece otherwise they can be in the same column but are not required to be together.
- The ADDRESS LINE, CITY, STATE, and ZIP CODE should each be in a separate field/column.
- The state column should be the state abbreviation and not spelled out.

- Targets all households in a specific area by carrier route.

Yes, we offer the following ancillary service options;
Return Service Requested: Undeliverable mail is returned to the customer with the recipient’s new address or the reason for nondelivery.
Address Service Requested: In the first year after the recipient moves, the mail is forwarded. The customer will be given their new address and charged an address correction fee. In months 13-18, the mail piece is returned to the customer with the recipient’s new address, at no charge. After 18 months, the mail is returned with the reason it couldn’t be delivered.
Change Service Requested: The customer will be notified of the recipient’s new address or the reason the item couldn’t be delivered, and charged an address correction fee. The mailpiece is discarded or recycled.
Forwarding Service Requested: If the recipient has a change of address on file, mail will be forwarded for a year. In months 13-18, the mailpiece is returned to the customer with the recipient’s new address. After 18 months, mail is returned to you with the reason it couldn’t be delivered.
In our experience, most clients choose not to add these services unless tracking client changes of address is critical to their mailing efforts. We automatically run all lists going out in a presort class through the national change of address (NCOA) database, unless specifically requested that we don’t update addresses.
NCOA stands for National Change of Address. It is a product of the United Postal Service and is used to reduce undeliverable and duplicate mail by identifying and correcting addressing errors. At Color Web Printers we offer this service with all presort mailings and this is included with the mail processing fee.
The NCOALink database is for moves only; it cannot correct addresses that are not complete (i.e. missing suite number) or that are invalid. Undeliverable pieces are likely if people don’t register their move, or if the database hasn’t been updated since their move. The database is updated every 90 days or earlier. It can also occur if an address is just invalid, as well as a variety of other reasons. When a piece is returned, we recommend you use the information contained on the returned piece to determine the cause and take corrective action by either removing them from future mailings or attempting contact by phone to get the correct address.
- A signed letter stating Color Web Printers can mail on customers behalf to submit to the USPS. Letter must be on company letterhead.
- Your Postal Non-Profit Number (this number is not the Non-Profit Tax Number and is not the Postal Permit Number but rather a specific number assigned by the USPS)
Addresses not passing CASS and DPV validation (they are deemed invalid or undeliverable) will be removed from your final mail list. Upon request, we can send you a list of the undeliverable addresses but please note this ahead of processing. If the number of records exceeds 10% of the mailing list total quantity we will contact you for further instructions. Please note – all international records will be removed from the final mailing list. International records must be submitted separately for mail processing.
We do not typically assume a customer wants duplicates removed since there are several reasons why someone might want to send to multiple people at a single address. Let us know before processing and we can remove duplicates by various methods.
